Services

Everything accounting except your tax return, plus the process work that makes it stick.

Use us as your complete back office, or bring us in to fix one specific problem. Every engagement is custom quoted to your size, your systems and the shape your books are in.

Most requested

Fractional Controller

Senior-level financial leadership for a fraction of a full-time salary.

Most $2M–$25M contractors have outgrown a bookkeeper but can't justify a $120K+ controller. We fill that seat. We own the close, review the work, build the reporting, and sit down with you every month to go over what the numbers are saying and what to do about it.

Good fit if: you have a bookkeeper or office manager entering transactions, but nobody owns the big picture, job profitability, or the relationship with your bank, surety and CPA.

What's included

  • Managed month-end close with a set calendar and checklist
  • Monthly financial package: P&L, balance sheet, cash flow, job profitability
  • WIP schedule and over/under billing review each month
  • KPI dashboard (gross margin by job, backlog, DSO, overhead rate, cash runway)
  • Monthly review meeting with the owner(s)
  • Bank, surety and CPA coordination, including covenant tracking and year-end package
  • Oversight, review and training of your in-house bookkeeping staff
  • Budgeting and forecasting support
Our bread & butter

Bookkeeping, Reconciliations & Monthly Close

Accurate books, reconciled every month, on a schedule you can count on.

Everything else depends on this. If the reconciliations aren't done, every report built on top of them is a guess. We keep your books current and accurate so you, your CPA and your lender can trust them.

Good fit if: the books are behind, nobody is reconciling, or you're doing the bookkeeping yourself at 10pm.

What's included

  • Transaction coding and categorization, including job and cost code coding
  • Bank, credit card, loan and line-of-credit reconciliations
  • AR and AP subledger reconciliation to the general ledger
  • Accruals, prepaid and payroll entries for accrual-basis financials
  • Monthly close and financial statements
  • Clean year-end handoff to your CPA

Construction Accounting: WIP, Job Costing & Fixed Assets

The construction-specific reporting most general bookkeepers can't build.

Construction accounting isn't regular accounting with a hard hat on. Percentage-of-completion, retainage, change orders, equipment costing and labor burden all need to be handled correctly, or your job reports will look great right up until the job loses money.

Good fit if: you don't know a job's real margin until it closes, your surety is asking for a WIP schedule, or your equipment costs live in overhead.

What's included

  • Work-in-progress (WIP) schedules tied to the general ledger
  • Over/under billing calculations and journal entries
  • Job cost structure and cost code setup
  • Labor burden and equipment cost allocation to jobs
  • Change order, committed cost and retainage tracking
  • Job profitability and estimate-vs-actual reporting
  • Fixed asset register and depreciation schedules for equipment and vehicles

Financial Statement Cleanup for Loans, LOC & Bonding

Turn messy books into statements a banker or surety will sign off on.

When you need a line of credit, an equipment loan or more bonding capacity, your financials get looked at closely. Unreconciled accounts, cash-basis shortcuts and balance sheet mysteries cost you money, or kill the deal. We find and fix them.

Good fit if: your books are months (or years) behind, your CPA keeps flagging the same problems, or you have a lender or surety deadline coming up.

What's included

  • Catch-up bookkeeping for any number of months or years
  • Full balance sheet reconciliation and scrub
  • Cash-to-accrual conversion where needed
  • WIP schedule and percentage-of-completion adjustments
  • Lender- and surety-ready financial package
  • Coordination with your CPA for reviewed or audited statements

Cash Flow Forecasting, Budgeting & Forecasts

See the cash crunch 13 weeks out, not the day payroll hits.

In construction, cash and profit are two different things. Retainage, slow-paying GCs, mobilization costs and seasonality can drain a profitable company. We build forecasts you can make decisions with: when to hire, when to buy equipment, how much work you can take on.

Good fit if: you're growing fast, cash feels tight even in good months, or you want a real budget for the year.

What's included

  • Rolling 13-week cash flow forecast
  • Annual operating budget and overhead budget
  • Rolling forecasts and budget-vs-actual reporting
  • Backlog and capacity planning
  • Scenario modeling for hires, equipment purchases and big bids
  • Break-even and overhead recovery analysis

Process Improvement & System Setup

Smarter workflows: less double entry, fewer bottlenecks, fewer "only Jane knows how to do that."

Led by Meghan, a Lean Six Sigma Green Belt with 10+ years in process improvement and business technology. We map how work actually moves through your company (estimate, contract, purchasing, field time, billing, collections), remove the waste, and set up systems that support it.

Good fit if: you're re-keying data between systems, billing goes out late, approvals get stuck, or you're outgrowing your software.

What's included

  • Current-state process mapping and bottleneck analysis
  • Workflow redesign: AP approvals, pay apps/billing, purchasing, time capture, collections
  • Accounting and construction software selection, setup and migration
  • System integration and cleanup of existing setups
  • Standard operating procedures (SOPs) and staff training
  • Dashboards and reports that update themselves

Internal Controls & Process Audits

Protect the business from errors, leaks and fraud before they happen.

Smaller companies are the most exposed to fraud and costly mistakes because one or two people handle everything. We review how money, approvals and data move through your business and give you a practical, prioritized list of fixes, not a 90-page binder.

Good fit if: one person controls payments and the books, you've had a "how did that happen?" moment, or you're preparing to sell, merge or bring in investors.

What's included

  • Internal controls review: cash, AP, payroll, billing, purchasing
  • Segregation of duties analysis sized for a small team
  • Approval workflow and access/permission review
  • Process audit with time, cost and error-rate findings
  • Written findings with prioritized, practical recommendations
  • Help implementing the fixes

General Business Consulting

A sounding board who knows your numbers.

Pricing and bid strategy, overhead and markup, hiring an in-house accountant, growth planning, buying equipment versus renting: the big decisions go better with someone who understands both the finances and the operations.

Good fit if: you have a decision coming up and want a second set of eyes on the numbers.

Common topics

  • Overhead rate, markup and bid pricing analysis
  • Profitability by job type, customer and crew
  • Growth and hiring plans
  • Equipment buy vs. lease vs. rent analysis
  • Hiring, onboarding and training in-house accounting staff
  • Preparing the business for financing, sale or succession

What we don't do: tax return preparation or tax filing. We work hand-in-hand with your CPA or tax preparer and give them clean, reconciled books.
